Jezzam provides you with amazingly flexible and sophisticated scheduling.

This article gives you an overview of the various elements involved in scheduling and includes links to articles giving more details for each section.

1. Location Opening Hours

Location Opening Hours are are the starting point for your scheduling and usually, once you've set them up, don't really change very often.

Location Opening Hours represent the basic opening hours for your business or organisation. If you have multiple locations you can set different Opening Hours at different locations as needed.

Location Opening Hours provide the default availability for any staff or resources created in your account.  In other words, when you create a new staff member or resource, the Opening Hours of the location they work in are used to provide the initial work hours/availability schedule for the staff member or resource.  You can then customise the work hours for individual staff members or the availability for resources as needed. This high level of flexibility gives you complete control over your scheduling.

More information on how you can customise individual Staff/Resource availability is provided below.

2. Staff and Resource availability

Jezzam lets you easily manage scheduling for all your staff and resources.

Initially, any new Staff Member or Resource you create will use the Location General Opening hours for their initial schedule. You can then easily customise a staff member or resource availability schedule as needed.  Schedules can be modified at any time.

3. Creating Schedules in Jezzam

Jezzam offers versatile scheduling options to accommodate your specific business needs, whether you're working alone, managing a team, or need to schedule resources. With Jezzam, you have access to three distinct scheduling modes: Simple, Advanced, and Per-Service, each designed to offer a tailored scheduling experience.

  • Simple Scheduling is perfect for setting up straightforward, regular weekly schedules.
  • Advanced Scheduling allows for more complex arrangements, accommodating daily, monthly, bi-monthly, and intricate recurring patterns.
  • Per-Service Scheduling enables personalized schedules for each of your staff members, ensuring precise availability for the services you offer.

You can choose just one type of scheduling if that suits your requirements or you can use the different modes in combination across your account to align with your operational requirements.

This flexibility ensures that you can adapt your scheduling approach as your business evolves, always meeting your scheduling needs efficiently.

4. Unavailable Times

Staff have holidays and time off.  Resources are sometimes unavailable because they need maintenance etc. Jezzam lets you manage individual Staff time off and Resource unavailability using "Unavailable Times".

Unavailable Times completely block availability for the selected Staff Member/Resource.  They are useful for scenarios such as one-off unavailability (like a doctors appointment for staff, or a maintenance afternoon for a resource) or for short repeated periods (for example, a 2 week holiday for a staff member or 3 days closure for repairs to a resource).

5. Closed Dates

Closed dates are a feature that allows you to completely block out times across your whole business so that bookings are unavailable. Closed dates can be for whole days or specific time periods and can be set as single occurrences or on a repeating basis.

This feature is useful for various reasons, such as public holidays, bad weather, scheduled maintenance, or planned breaks for staff.

Once a closed date is set, it overrides all other scheduling, preventing new online bookings for any services offered by the business during these periods. It's important to note that closed dates do not affect existing bookings or events that have been scheduled.  So you should check your admin calendar for any clashes with existing bookings and take necessary actions, such as cancellation or rescheduling.
