A Course in Jezzam is made up of a series of Sessions. Although the Sessions belong to the same Course, some details can be changed for an individual Session while other details belong to the Course as a whole.
When you edit a Course in the Admin Calendar, Jezzam lets you choose whether your changes should apply to an individual Session, following Sessions or the whole Course.
Editing an individual Course Session
If something is different for just one Session, you can edit that Session without changing the rest of the Course.
For example, you can change:
- The Session date
- Start time
- Duration
- Location
- Resources
- Staff
This is useful if, for example, one Session needs to take place at a different time or Location, or needs to be delivered by a different member of Staff.
Course-level details cannot be changed for an individual Session. These include:
- Course name and description
- Price
- Capacity
- Whether online payment is required
- Course options such as showing the price or number of places available
- Manual approval settings
- The Course repeat pattern
- Online access settings
- Forms
When you edit an individual Session, Jezzam shows these Course-level settings but makes them unavailable to edit.
Editing following Sessions
If a change should apply from a particular point in the Course onwards, you can choose to edit that Session and the Sessions that follow it.
This can be useful if, for example, the remaining Sessions need to move to a new start time or Location, or will be delivered by different Staff.
When editing following Sessions, you can change:
- Start time
- Duration
- Location
- Resources
- Staff
Details that define the Course itself, such as its name, price, capacity, access settings and repeat pattern, still need to be changed by editing the whole Course.
NOTE: If you have previously made individual changes to any of the following Sessions, applying a change to the remaining Sessions may overwrite those individual changes. Jezzam will warn you before the changes are saved.
Editing the whole Course
To change information that applies to the Course as a whole, choose the option to edit the whole Course from the Admin Calendar.
This gives you access to the Course-level settings, including:
- Course name and description
- Price
- Capacity
- Online payment settings
- Course options
- The repeat pattern
- Online access settings
- Location and Resources
- Staff
- Forms
Changing Course-level information applies it across the Course rather than to one individual Session.
NOTE: Editing the whole Course can overwrite changes you have previously made to individual Sessions. Jezzam will warn you before the changes are saved.
Why can't I change the name or price of one Session?
The individual Sessions of a Course are booked together as one Course. The Course name, price and other Course-level settings therefore apply to the complete Course rather than to an individual Session.
For example, if a six-week Course costs £120, £120 is the price of the Course as a whole. An individual Session does not have its own separate price that can be changed independently.
This is different from Repeating Events. Although Repeating Events may have been created together as a series, each one is an individual Event and can have its own name and price.
What happens if customers are already booked?
You can still make changes after customers have booked onto a Course.
When saving changes, you can choose whether to send an email to customers who are already booked onto the Course.
Choose this carefully. For administrative changes that do not affect the customer, there is usually no need to send an email. If you change something customers need to know about, such as a Session's date, start time, duration or Location, you should normally send the update.
NOTE: The email sent to customers includes details of all the Sessions in the Course, not just the Session you have changed.
Changing the Course price does not change the amount already paid or due for existing bookings. The new price applies to subsequent bookings.
