When you create a booking in the Admin Calendar, Jezzam automatically creates an order for that booking.
This applies to appointment and service bookings, as well as bookings made onto events, classes, courses and workshops. An order may contain one booking or multiple bookings, depending on how the booking is created.
This means bookings created by an administrator fit the same order model as bookings made online by customers. The order provides a place to view the order-level details, while each booking can still be viewed and managed separately.
Creating a booking and order in the Admin Calendar
Orders are created automatically when you create bookings in the Admin Calendar. The steps vary slightly depending on the type of booking.
Appointment or service bookings
To create an appointment or service booking:
- Go to the Admin Calendar.
- Select the date and time on the calendar where the booking should start.
- In the 'Add new' popup, select 'Booking'.
- Complete the booking details as required.
- Choose whether to email the customer.
- Confirm the booking.
When the booking is confirmed, Jezzam creates the booking and automatically creates the related order.
Note: If you create a repeat booking, the bookings in the repeat sequence are grouped into a single order. This is covered in more detail in the related article on creating repeat bookings and orders in the Admin Calendar.
Event bookings
To create a booking onto an Event:
- Go to the Admin Calendar.
- Select the relevant event date on the calendar.
- In the event popup, select 'Add Booking'.
- Complete the booking details as required.
- Choose whether to email the customer.
- Confirm the booking.
When the event booking is confirmed, Jezzam creates the booking and automatically creates the related order.
Note: If you book a customer onto multiple dates in a repeating event series, the selected event bookings are grouped into a single order. This is covered in more detail in the related article on booking a customer onto multiple dates in a repeating event series.
Tip: You can also create a new booking from the Actions menu in the Admin Calendar. Selecting a time directly on the calendar is often quicker because the date and time are already selected for you. If you want to choose from available slots, use the Booking Assistant, which shows availability based on your scheduling setup.
Emailing the customer
When an admin creates a booking in the Admin Calendar, the admin can choose whether to email the customer.
If the 'Email customer' option is selected, Jezzam sends the customer the 'Order placed' email for that order.
The email includes the order details and the booking details included in that order.
If the 'Email customer' option is not selected, the booking and order are still created, but the customer is not emailed at that point.
Admin-created orders and admin notifications
When an admin creates a booking in the Admin Calendar, Jezzam does not send an order notification email back to the admin.
This is because the admin created the booking themselves, so Jezzam does not treat it as something the admin needs to be notified about.
Order notification settings are mainly used for admin notifications when customers place orders online.
Viewing the order after it has been created
After the booking has been created, you can view the related order from the Customers section.
To view the order:
- Go to Customers in the admin panel.
- Search for and select the customer.
- Open the 'Orders' tab.
- Select the relevant order.
The order shows the bookings included in that order, along with the order-level information.
Viewing or managing the booking
An order groups one or more bookings together, but each booking can still be managed separately.
You can open and manage an individual booking from the Admin Calendar. You can also view the customer's bookings from the Customers section by opening the customer record and selecting the 'Bookings' tab.
This means you can review, change or cancel one booking without needing to change the whole order.
How admin-created orders differ from online orders
Orders created in the Admin Calendar and orders created online both use the order model in Jezzam.
The main difference is how emails are handled.
- When a customer places an order online, Jezzam sends the customer the relevant order email automatically.
- When an admin creates a booking in the Admin Calendar, the admin chooses whether to email the customer.
- When a customer places an order online, admin order notifications depend on your Order Notification Settings.
- When an admin creates the order, Jezzam does not send an order notification email back to the admin.
